Executive Assistant to AGM (Sales, Operations & Management)

Job Summary

We are looking for a highly dependable and proactive Executive Assistant who will work directly with the AGM to manage day-to-day business activities across sales, client communication, operations, and internal coordination. This role is not limited to administrative tasks,  the selected candidate will act as a business extension of the AGM, ensuring tasks are executed, followed up, and completed efficiently.

Key Responsibilities

1. Executive Support & Task Ownership

  • Act as a direct support to AGM in daily business activities
  • Take ownership of assigned tasks and ensure completion without constant follow-up
  • Track priorities, deadlines, and deliverables across multiple functions

2. Client Communication (On Behalf of AGM)

  • Communicate with clients via email, calls, and messaging platforms
  • Provide updates, follow-ups, and responses professionally
  • Maintain strong relationships and ensure client satisfaction

3. Sales Coordination

  • Assist in lead tracking, follow-ups, and pipeline updates
  • Prepare proposals, quotations, and client documents
  • Follow up with prospects to move deals forward

4. Operations & Project Follow-up

  • Coordinate with internal teams to track project progress
  • Ensure timelines are met and issues are escalated early
  • Maintain clear documentation of ongoing work

5. Payment & Recovery Follow-up

  • Monitor invoices and pending payments
  • Communicate with clients for payment follow-ups
  • Coordinate with accounts team for updates

6. Reporting & Business Updates

  • Prepare daily and weekly reports for AGM
  • Maintain trackers for sales, clients, and operations
  • Provide structured updates and insights

7. Office & Coordination Support

  • Manage meeting schedules and internal coordination
  • Ensure smooth communication between departments
  • Handle basic administrative responsibilities when required

Preferred Qualifications

Required Skills & Qualifications

  • Bachelor’s degree (BBA or related field preferred)
  • Strong communication and interpersonal skills
  • High level of responsibility and accountability
  • Good organizational and multitasking ability
  • Proficiency in MS Office / Google Workspace
  • Basic understanding of business, sales, or operations
